How will you contribute:
The Project Coordinator will support the project management team in various phases of project execution, from bidding to job closeout. This role involves using Procore for project management and Sage for accounting, ensuring projects are completed on time, within budget, and to the required quality standards.
Bidding:
- Print and distribute plans/spec/addenda for bidding purposes.
- Create and maintain a bid tracking spreadsheet (win/loss) with competitor numbs and spread
- Conduct SBE/DBE outreach:
- Create tracking spreadsheets.
- Email and call TBS (SBE, DBE, MBE) for GFE as needed
- Attend SBE pre-bid meetings.
Job Set-Up:
- Participate in start-up meetings.
- Perform basic Procore set-up (Prime Contract amount, start/end date, directory, distribution lists).
- Upload drawings and specifications.
- Create submittal logs.
Ongoing Construction:
- Upload and distribute CB drawings/specs.
- Print CB plans for on-site sets.
- Assist the APM/PM with sending change orders (COs).
- Follow up on submittals.
- Create and send various reports (financial, submittals, etc.).
- Prepare job cost reports.
Job Close:
- Participate in exit strategy meetings.
- Create and send closeout submittals to subcontractors.
- Request warranties after substantial completion.
- Package and submit all O&M documentation to the Owner/Architect/Engineer.
General Assistance:
- Clean up the Procore company-level directory:
- Merge duplicates.
- Delete inactive entries.
- Merge non-ERP linked companies with ERP counterparts.
- Assign trades to directory companies for punch list creation.
- Maintain organized and updated files in the shared drive and Procore.
- Collaborate with the APM on process improvement efforts.
What you need to qualify:
Ideally, candidates will have industry experience through internships and/or work experience. You can stand out above other candidates by having construction knowledge.
Proficiency in Project Management Software (Procore), required.
Candidates should have the ability to multitask and perform several projects at one time, have an effective communication style, and the ability to collaborate with team members and customers. Attention to detail will be crucial in this role.
